Email isn’t dead. Bad email is.

Most brands send 4 emails a year called "newsletters" and call it marketing automation. Real email automation is a system: every contact in your database receives a series of messages timed to their behavior, not your calendar. Welcome flows for new leads. Cart abandonment for hesitating shoppers. Lifecycle nurture for the long sale. Re-engagement for the ones who’ve gone quiet.

SMS adds urgency for time-sensitive moments, appointment reminders, OTP confirmations, payment receipts, flash sales. Together, email + SMS hit your buyers across every channel they actually open. We build these systems, write the copy, A/B test the subject lines, and kill the workflows that don’t pay for themselves.

The Process

How we build automation that earns its place.

Five phases. Every workflow gets tracked, tested, and pruned, not just built and forgotten.

01

Audience & Lifecycle Mapping

Before any workflow gets built, we map your customer lifecycle. Where do new contacts come from? What are the key moments in their journey, signup, first purchase, hesitation, repeat purchase, win-back? Each moment becomes a trigger. We document this in one diagram so you and your team can see the whole journey.

Lifecycle mapping Trigger points Segment design
Output
Lifecycle blueprint
A diagram of every key moment in your customer journey, tied to the workflows that handle each one.
02

Copywriting & Design

Subject lines that get opened. Body copy that gets read. CTAs that get clicked. We write the whole library, welcome sequences (4–7 emails), abandoned cart (3 emails), post-purchase (4–5 emails), win-back (3 emails), re-engagement (2 emails). Every email gets a mobile-optimised design on your brand template.

Subject line testing Mobile-first design CTA optimisation Brand templates
Output
25–40 emails written & designed
Full copy library, designed templates, ready to load into the platform.
03

Workflow Build & QA

The actual build inside Klaviyo, Mailchimp, ActiveCampaign, HubSpot, or GoHighLevel, whichever platform you’re on. Triggers, wait times, branches, conditions, exit rules. We test every path: contact opens, contact doesn’t open, contact replies, contact unsubscribes, contact converts mid-flow. No broken edge cases on launch.

Multi-platform builds Edge case QA Exit rules Trigger testing
Output
12–20 workflows live
Every flow tested across every path. Documented for your team to maintain.
04

SMS Layer & Deliverability

SMS for time-sensitive triggers, appointment reminders, OTPs, payment confirmations, urgent cart recovery, flash sale alerts. Integrated with the same workflows so SMS fires only when email won’t. Plus deliverability work: SPF, DKIM, DMARC, domain warmup, sender reputation monitoring, list cleanup.

Output
Multi-channel reach
Email landing in inboxes (not spam). SMS firing for urgent moments. Domain in good standing.
05

A/B Testing & Optimisation

Live system, monitored monthly. We A/B test subject lines, send times, sequence length, copy variants. Workflows that don’t earn revenue get killed. Workflows that work get expanded. Quarterly review of the whole programme, what’s converting, what’s costing more than it earns, what new flows the business needs as you grow.

Each quarter, the programme converts better than the last. Documented improvements you can trace.
The Workflow Library

Four workflow families, built for every stage of the journey.

From the first signup to the win-back, each moment needs the right message on the right channel.

01

Acquisition & Welcome

The first 14 days after signup decide whether someone becomes a customer. Welcome series (4–7 emails), lead-magnet delivery, brand introduction, social proof, first-purchase nudges. SMS opt-in collection. Built to convert, not just say hello.

Welcome series Lead-magnet delivery First-purchase nudge SMS opt-in
02

Sales & Conversion

The flows that close. Browse abandonment, cart abandonment, checkout abandonment, post-demo follow-up, proposal follow-up, expiring offer reminders. Email + SMS layered for urgency. Tested copy variants, sender names, send times.

Cart abandonment Browse recovery Demo follow-up Offer expiry SMS
03

Lifecycle & Retention

Once they buy, the work starts. Onboarding sequences, product education, review requests, replenishment reminders, upsell campaigns, anniversary emails, loyalty programme touchpoints. The flows that turn first-time buyers into repeat customers.

Onboarding flows Product education Review requests Replenishment
04

Win-back & Re-engagement

The flows nobody sets up, and the ones that recover the most revenue. Lapsed-customer win-back, sunset flows for inactive subscribers, re-engagement for cooled leads, list cleanup automation. Saves your sender reputation while extracting one more conversion from the database.

Common questions

What clients actually ask.

Klaviyo for ecommerce, deepest Shopify integration, best at product-based workflows. Mailchimp for general SMB marketing, easy interface, weaker automation. ActiveCampaign for B2B and service businesses with longer sales cycles, best automation engine of the three. HubSpot Marketing if you’re already on HubSpot CRM. GoHighLevel if you want CRM + email + SMS in one tool. We pick based on your business model, not what we resell.
The answer isn’t a number, it’s relevance. A subscriber will tolerate 4 emails a week if every one is useful to them. They’ll unsubscribe after 1 email if it’s irrelevant. The right approach is segmentation: send less to less-engaged subscribers, more to active buyers. We track open and click rates per segment and adjust frequency accordingly.
Usually one of: missing SPF/DKIM/DMARC records, sending from a free email domain (@gmail/@yahoo), buying or scraping email lists, sending to old/unengaged contacts, or spammy subject lines. We audit your deliverability setup, fix the technical records, warm up your sending domain, and clean your list of dead addresses. Most brands see inbox placement go from 60% to 95%+ within 6 weeks.
Yes. India’s TRAI regulations require DLT (Distributed Ledger Technology) registration for promotional SMS, plus header and template approval. We register your entity, get your templates approved through the DLT portal, and route SMS via TRAI-compliant gateways (Gupshup, MSG91, Twilio India). It takes ~10 days but unlocks legal mass SMS in India.
We write everything in the welcome, conversion, lifecycle, and win-back libraries, subject lines included. You review and approve before launch. If you have an in-house copywriter who wants to handle some of it, we’ll collaborate and just build/design the workflows. Most clients prefer we own the copywriting because we know which subject lines convert in their category.
A serious automation programme needs monthly attention, A/B testing, performance review, killing underperforming workflows, building new ones as the business grows. Most clients keep us on a flexible retainer covering optimisation, new builds, and platform management. You can also bring it in-house after 6 months with proper handover.
